Check-in Process

Check-in Process

What is the check-in process?

The check-in process is the procedure a hotel follows to register guests upon arrival. It confirms the guest's reservation, collects their identification and payment details, assigns a room, and issues a room key or digital access code.

How it relates to running a hotel

A smooth check-in process is important for how guests experience the hotel. The staff at the front desk or using digital tools check the booking information, suggest extra services, and ensure guest preferences are met.

It is also important to connect this system to the Property Management System (PMS). This allows you to update room status, activate digital keys, and track occupancy in real time.

Digital check-in and automation

Many modern hotels now use self-service kiosks or mobile check-in systems. These reduce wait times, minimise errors, and allow staff to focus on personalised service. Automation also helps manage late arrivals and express check-outs.

The most important thing to know is

Efficient check-in improves guest satisfaction and operational efficiency. Late arrivals can increase pressure on the front desk and negatively affect the guest’s perception of service.

How to manage check-in effectively:

  • Make sure you have assigned each room before guests arrive.
  • Set up PMS alerts to identify VIPs or special requests.
  • Offer digital or express check-in for returning guests.
  • Make sure customers understand how to pay and what the rules are for deposits.
