Hotel Guest Satisfaction Surveys: The Best Questions to Ask

Most hotel surveys are too long, sent too late, and read by no one once the score is logged. A good survey is short, lands while the stay is fresh, and feeds something that actually changes. Here is how to build one.

When should a hotel send a guest survey?

Two windows work, and they do different jobs.

An in-stay check on day one or two catches problems while you can still fix them. A guest who tells you the shower is cold on the first morning is a guest you can still make happy. The same complaint in a post-stay survey is just a bad review you read after the fact.

A post-stay survey within 24 hours of checkout captures a sharp memory. Send it a week later and you get vague answers, or none. The stay has blurred.

Run both if you can. The in-stay check is for recovery. The post-stay survey is for measurement.

What questions should a guest satisfaction survey ask?

Keep it under six questions. Mix one or two ratings with a few specifics, and leave room for the guest to actually say something:

  • Overall, how was your stay? (rating 1-5) — your headline satisfaction number.
  • How likely are you to recommend us? (rating 0-10) — your NPS, a loyalty signal.
  • How was check-in? (rating or short answer) — friction at the first touchpoint.
  • How was the room: clean, comfortable, quiet? (rating or short answer) — the core product.
  • Did anything fall short? (open text) — the specific problem to fix.
  • Anything we should know for next time? (open text) — preferences and recovery openings.

The last two are where the useful stuff lives. Ratings tell you there is a problem. Open answers tell you what it is. A survey that is all ratings gives you a number and no idea what to do with it.

What makes guests actually answer?

Four things:

  • Length. Under six questions, ideally one screen. Every extra question costs you responses.
  • Channel. A survey link buried in an email competes with everything else in the inbox. Two questions in a WhatsApp thread the guest is already using gets answered.
  • Timing. Fresh memory, as above.
  • Feeling heard. If a guest flags something and hears nothing back, they stop responding to surveys. A short reply keeps the channel alive.

What is the difference between CSAT and NPS?

They are often used interchangeably. They are not the same thing:

  • CSAT — asks "how satisfied were you?" It measures the specific stay that just happened, is best read as a snapshot, and is asked right after the stay.
  • NPS — asks "how likely are you to recommend us?" It measures loyalty and word of mouth, is best read as a trend over time, and is tracked over months.

CSAT tells you about the stay that just happened. NPS tells you whether that guest will come back and bring others. Most hotels track both, and you can with two questions. The full definitions are in the Viqal glossary on CSAT and NPS.

What should you do with the responses?

This is where most survey programs fall down. The score gets logged and nothing moves. A few habits that fix that:

  • Route low scores to a person the same day, with the guest's comment attached, so a recoverable situation gets recovered before the guest leaves.
  • Tag open answers by theme. Five mentions of slow check-in in a week is a staffing signal, not five separate complaints. The patterns in survey text often line up with the patterns in your most common guest complaints.
  • Send happy guests straight to a public review. The survey already told you they will say something good.

Where the survey should live

An in-stay survey that runs through your guest messaging keeps the response and the follow-up in one place. A flag comes in, a staff member picks it up, the guest hears back before checkout. When the survey runs through an AI agent, the routine "everything was great" responses get acknowledged automatically, and only the flagged ones reach a person.
