What is a reservation?

A reservation is an arrangement made by a guest to secure accommodation at a hotel for specific dates in advance. It includes details such as the guest's name, the dates of their stay, the type of room they have booked, the price they have paid, and how they chose to pay.

Reservations are managed and stored in the hotel's Property Management System (PMS) or Central Reservation System (CRS).

How does it apply to running a hotel?

Reservations are the most important part of managing how many rooms a hotel has booked. They help staff forecast demand, plan inventory, and coordinate departments such as housekeeping and front desk.

Accurate reservation management ensures rooms are sold efficiently and guest expectations are met. It works with online booking sites like OTAs, GDS, and direct booking engines, so hotels can display the latest prices and availability.

Types of bookings

• Guaranteed: You can pay with a credit card to secure your booking. You will not be charged until the day you leave.
• Non-guaranteed: The guest has to arrive by a certain time on the day of arrival. If they don't arrive, the reservation is cancelled.
• Group reservation: A group of rooms that have been booked together, for example for an event or a tour.

Please note:

If reservations are accurate, the company will make more money and guests will be happier. If a company overbooks or makes a data error, it can lose customers' trust.
